The prompt
Write reusable reply macros for the issues our support team answers most often on SUPPORT CHANNEL. Use this: - The issues, with a typical customer message for each: COMMON ISSUE TYPES - The policies, steps and help links each answer depends on: POLICIES AND LINKS - Our tone of voice and how we sign off: BRAND VOICE For each issue, write a macro with: 1. Name: short and searchable, e.g. "Billing - duplicate charge". 2. Use when: one line. Don't use when: one or two lines naming cases that need a personal reply or an escalation. 3. The reply, 60-120 words: acknowledgement, the answer or steps, the next action, sign-off. Mark the fields the agent must fill in angle brackets, e.g. <first name> or <order number>. 4. Tags or follow-up actions for the help desk, if any. End with a short list of situations where a macro would be risky and a personal reply is better. Rules: - Use only the policies and links given; never write a refund amount, timeline or fix that POLICIES AND LINKS doesn't state. - Each macro must read naturally when the agent changes only the angle-bracket fields. - Apologise in one line at most, and only where something went wrong on our side.
